How to Reduce PDF Size for Online Forms and Email

By Prestofiles Team · · Updated · 1 min read

A scanned PDF can be 10MB or more. This guide shows how to shrink it to 200KB, 500KB or 1MB so it uploads and emails easily.

Portals often limit PDF uploads to 200KB, 500KB or 1MB. Scanned documents are usually far larger, because each page is a full picture.

Why scanned PDFs are big

A phone scan stores every page as a high resolution photo. Colour, shadows and a high dpi setting make the file grow. A text PDF made on a computer is usually small already.

Steps to make it smaller

  1. Open the Compress PDF to 200KB page, or choose another size from the list at the bottom of the page.
  2. Choose your PDF.
  3. Press Compress. The tool tries stronger levels one by one until the file fits.

What to know before you compress

  • To reach a small size, each page becomes a compressed image. Text in the new file cannot be selected or searched, so keep your original.
  • If the file is still too large, remove pages you do not need or scan in black and white.
  • Check the result at normal zoom before you submit it.

Which size should I choose?

Use the limit on your form. If no limit is given, 500KB to 1MB keeps pages easy to read and is accepted almost everywhere. For exact limits try 100KB, 500KB or 1MB.
